The Problems to be Solved

Whilst The Universities are each unique and geographically spread, they all sought a solution to the complications associated with managing a diverse portfolio of building assets that varied by age, size, utilisation and condition. Combined, The Universities were responsible for 670+ buildings encompassing over a quarter of a million individual asset lines.

Each of The Universities are home to a vast array of complex assets spread across multiple campuses that are interlinked for the purpose of providing an optimal educational experience for tertiary students. The assets range from sporting complexes, roads and pathways through to modern building and research facilities and in the case of the University of Tasmania, the fourth oldest university in Australia, sandstone buildings dating back to pre-1900.

Subsequently, the effective asset management operation within the Universities is a continual balance and synthesis of the different demands of safety and comfort, economic constraints and educational priorities. Furthermore, the asset management teams needed a technologically advanced solution that was accurate, scalable, cost-effective, mobile and would eventually reduce the demand on their internal personnel resources.

Each of The Universities are home to a vast array of complex assets spread across multiple campuses that are interlinked for the purpose of providing an optimal educational experience for tertiary students. The assets range from sporting complexes, roads and pathways through to modern building and research facilities and in the case of the University of Tasmania, the fourth oldest university in Australia, sandstone buildings dating back to pre-1900.

Subsequently, the effective asset management operation within the Universities is a continual balance and synthesis of the different demands of safety and comfort, economic constraints and educational priorities.

The asset management workflows of The Universities offered clear opportunities for improvement. The most obvious area was the philosophical transition from reactive to proactive maintenance and investment. The initial step to effectively achieve this change was the deployment of an intuitive and user-friendly tool that would allow The Universities to easily amalgamate the vast amount of asset data. Once captured, the tool would then need to be capable of using this data to provide compelling and evidential data insights and recommendations.

Specifically, CAMS delivered bespoke solutions tailored to the individual requirements of the universities, a mobile-enabled data repository for all asset and building data, and Australia's most accurate and innovative asset management predictive engine.

In each case, The Universities generated efficiencies and savings, meaning the payback period for the CAMS solution was approximately three months.

The platform provided an intuitive tool for the optimisation of capital allocation and ROI, along with an empowering management tool enabling the operation of safer, smarter and healthier assets. Additionally, CAMS supported alignment with TEFMA and strengthened FM in the tertiary education sector.

Deployment & Utilisation

The deployment of CAMS at The Universities was simple. For RMIT and La Trobe University, a single-day workshop with the CAMS customer success team provided the strategy and direction that was required for them to start the journey towards world-class asset management. In the case of the University of Tasmania, the onboarding and deployment strategy was overseen by facilities management partner, Macdonald Consultancy.

Asset Management Implementation

The CAMS platform provided a bespoke solution for each of The Universities, allowing them to tailor the use of the technology to their most pressing needs, ranging from an asset repository to a fully automated, accurate life cycle predictive tool to be used for capital allocation and asset investment works.

Across The Universities the initial deployment of CAMS was used to optimise the asset management function across multiple areas: as a repository for university assets including the body corp. and individual faculties, a lifecycle modelling and scenario analysis tool used for The University's SAMP (Strategic Asset Management Plan), and a lifecycle tool used by individual faculties to support CAPEX submissions and funding.

Additionally, CAMS served as a strategic asset management tool empowering management to reduce risks and limit ad hoc replacements, and a forecasting tool used by the asset management team allowing for sustainable decision making and economic impact analysis.

For these universities, the implementation of CAMS has meant that the ongoing asset management function of their business has been streamlined to be one where efficiency and insight dominate. Furthermore, it has become an integral part of their asset management function and has provided oversight that up until now has been lacking.

Importantly, CAMS also ensures that these universities are TEFMA compliant, thereby circumventing another pain point of operating a tertiary institute. The results demonstrate that CAMS has helped The Universities save time, money and provide for better decision making and strategic outcomes.
